Reusing Your Business Data
Your company spends a great deal of time and money collecting valuable information about customers, vendors, projects, internal resources and other data to help your run your business effectively and efficiently. This business data is essential for creating invoices, reviewing reports and monitoring balances. Having business systems with integration tools makes this data collection easy and controlled.
However, what about the other business tasks you need the information from your business software to complete and analyze? Do you find yourself collecting the same data again so you can use it for these other purposes? Keeping, maintaining and synchronizing this second set of data often takes additional time and resources your company doesn’t have or can not afford.
Did you know that your Microsoft Office suite holds many tools to help you “reuse” your business data directly from your business software eliminating the need for this second set of data? Tools include:
- Mail Merge
- Email Merge
- Excel PivotTable
Mail Merge Example
Microsoft Word has mail merge functionality where you can create documents based on your business data. In addition, Word contains a number of preconfigured document templates, envelope sizes and labels, such as Avery, that can be used for the mail merge.
Let’s say you need to send a new product launch invitation letter to all your customers who live in Illinois. In this example, we are reviewing a customer table from our business software for merging with a Word document. Once the data source is selected, you can edit the recipient list to filter out customers with a billing address outside Illinois. The data source fields can then be inserted, where needed, in your template document. Once you have finished configuring your template document, select Finish & Merge to review the finished product before printing.

Keep in mind, the mail merge tool is not limited to addresses. It is just one way to take your business data and pull it into documents that you have already preconfigured. You can also create and save vendor name labels for your Accounts Payable files by tapping into your master vendor data and filter only vendors who have been active in the last year. The possible uses are endless.
Email Merge Example
In addition to the mail merge, Word also has email functionality. With Word, you can create a document and email it to selected Outlook contacts. In our second example, it is nearing the end of the year and you want to send a Holiday party invitation to all your employees and subcontractors.
First, create the document you would like to email. You can use one of the many downloadable templates available on the Microsoft Web Site or use one of your own creations. If you want to use a Microsoft template, click New and it will let you review preloaded templates or query the Microsoft site for the one you want.
Second, go to the Mailings Tab and click Select Recipients. You can point to your Outlook contacts or another data source if your email list is not in Outlook. You can filter the list to include only the contacts you need to exclude those you do not have an email address for or don’t wish to send the invite.
Last, click the Finish & Merge to send your email.

Excel PivotTable
Another powerful tool is the Excel PivotTable. The Excel PivotTable tool allows you to directly access your data in the format and structure you need and define how the data should be displayed. The PivotTable function is accessible through:
- Insert Menu – PivotTable on the ribbon in Excel 2007
- Data Menu – PivotTable in the drop down menu in Excel 2003 / XP / 2000 / 97
Let’s say you want to see your summary sales figures with the customers running down the left and the fiscal period running across the top.
In Excel 2007:
- Select the Insert menu and the PivotTable from the ribbon.
- Select a table or range on the spreadsheet for the PivotTable wizard.
- Build your report by choosing fields from the PivotTable Field List and choose the location of the results.

In Excel 2003 / XP / 2000 / 97
- Select the Data menu and the PivotTable from the drop down menu.
- Choose where you want to view the data.
- Build your report by choosing the data range.
- Drag the fields that you want to appear in the Page, Row, Column, and Data selections of the PivotTable.
For each Excel version, the next time you open the spreadsheet you should refresh the data from the data source and it should automatically be updated in the spreadsheet.

Word 2007 Tutorial 18 – Making A Simple Poster
The basketball team has taken the state title. I wish to make a poster to illustrate that hard work and teamwork has made us #1. I can make a simple poster with the team picture to illustrate this concept to the whole student body. Posters can be printed cheaper than buying posters from the store. If the printer does not support tabloid size paper or poster board, the file can be converted to PDF and sent to a local print shop to be printed. I called a local print shop and found that they can print a poster on tabloid size poster board for less than $2 USD. Teachers can use this concept to make their own posters to decorate and display positive or educational messages in the classroom.

4 Tips On How To Add Some Pizzazz To Your Disney Scrapbook
Adding some pizzazz to your Disney Scrapbook need not be a hard thing just some creative thought. With these four tips you will be well on your way to creating a stunning Disney Scrapbook
Tip Number 1 – Create It Yourself
Create your own unique stencil or mask. Choose a design or character that you love and draw or trace it onto a piece of clear acetate or thick cardboard. Then carefully cut the design out, be sure that when you are cutting you are keeping the edges smooth. When you have finished cutting the design out push out the image and there you have it your own personal stencil. Use spray or acrylic paint, dye or ink to transfer the image onto your layout.
Tip Number 2 – Print and Stick
By printing letters straight onto adhesive backed paper you can take all the hard work out of adhering hand-cut letters and titles to your Disney layout. Once the letters or titles have been printed, cut them out as per usual by peeling off the backing and stick the letters directly on your layout. You can purchase adhesive backed papers or labels from computer stores or stationery stores and they come in a large selection of sizes and colors’.
Tip Number 3 – Print and Scratch
Transfers are a great way to add some detail to your pages, you can create your own rub-ons and use them over and over again! You just need transparency paper, an inkjet printer and a popsicle stick and you are on your way. Insert the transparency into your inkjet printer, so that it prints on the smooth side of the transparency, have the text/image you want to have as a rub on ready to print from your computer. Format your printer settings so that it is set to print on “plain paper”, “best quality” and “mirror image” (the image needs to be reversed especially if you are printing text or it will appear backwards). And then print. Let it dry for about 3-5 minutes, careful not to touch it. Place the transparency smooth side down onto your Disney scrapbook page precisely where you want the image/text to appear, holding firmly in place, and rub with a popsicle stick just like you would any other rub on. Don’t be afraid to push to hard, and make sure you rub the entire image. Carefully take away the transparency and let ink completely dry before touching. Use a damp cloth or paper towel to clean off your transparency to prepare it for your next rub-on, you can re-use the transparency over and over and over again.
Tip Number 4 – Cutting costs
Trying to keep up with the latest trends in scrapbooking can be expensive. You can save some money by visiting your local hardware store or discount store to find some great bargains. In your local hardware store you can find great little trinkets such as name plates, key ring holders and brass rings just to name a few items. Discount stores have now caught onto the craze of scrapbooking as well and stock some interesting products that can add some fun to your Disney scrapbook page.
Creating a stunning scrapbook does not mean you need to break the bank, with the top four ideas you will be on your way to creating memorable scrapbooks that will last a life time.
